I. Privacy Policy
Expopoint values your privacy. We process your personal data in a lawful, correct, and transparent manner, as described in the GDPR. In this statement, you can read our policy regarding the collection, processing, management, and use of your personal data.
Data Controller Expopoint bvba Bethaniënlei 113 2980 Zoersel info@expopoint.be VAT: BE 0837964093 RPR Antwerp, Antwerp division
For all your questions, requests, or comments about your privacy and our policy, you can always reach us via email: info@expopoint.be.
What data do we process?
By personal data, we mean all information about an identified or identifiable natural person. This concerns data that you have provided to us yourself, whether by telephone, orally, via email, or a contact form on our website. This includes data with which we can:
Identify you (name, address, customer number)
Contact you (address, telephone, mobile number, fax, email)
Serve you correctly (description of your order, feedback, preferences, and interests, etc.)
Purposes of processing your data
We process your personal data for various purposes, but we ensure that we only collect and process data that is adequate, relevant, and limited to what is necessary for the purposes for which it is processed.
To comply with our legal obligations, such as for invoicing.
If we have received your consent to do so. You are, of course, free to withdraw your consent at any time by contacting us through the appropriate channels.
For the performance of an agreement and/or to assess whether a contract or service can be concluded.
If we have a legitimate interest to do so (processing for research purposes, dispute management and legal risks, complaints management and after-sales service, exercising and safeguarding our rights, etc.). In doing so, we ensure that the balance between these legitimate interests and the impact on your privacy is not disturbed.
To conduct direct marketing. If you do not wish for this, we explain below how you can exercise your right to object.
Security of your data
Internally, we take the necessary technical and organisational measures to protect your personal data. We do this both in our office and via our websites. For example, our quotations, invoices, and agreements are securely stored in the cloud. We also ensure that our employees and partner companies only have access to the data necessary for the performance of their duties. Furthermore, we only work with GDPR-compliant companies that treat your data as securely and confidentially as we do. However, Expopoint cannot be held responsible if, despite the measures taken, incidents were to occur with these processors, albeit in accordance with applicable legislation.
Transfer to third parties
We do not sell your data to third parties under any circumstances. We outsource some aspects of our business operations to external companies. For example, we use an accountant for our bookkeeping. In such situations, we are sometimes forced to temporarily transfer your data to a third party. Even in these cases, you can be assured that this transfer is secure and limited to what is necessary to properly perform the assignment. Our accountant, for example, does not get access to your telephone number.
Retention period of your data
We do not store personal data for longer than is necessary for the purposes for which it is processed, or as long as we are legally obliged to do so, such as for accounting or legal necessity. For statistical purposes and to optimise our marketing, we store the data on quotations for up to 3 years after the quotation date. After that, the data is stored anonymously without any personal data being linked to it.
Your data, your rights
When we process your personal data, this grants you a number of rights, which we list below:
Right to access/inspection As a data subject, you can request access to the data we process about you at any time. To prevent any unauthorised disclosure of your personal data, you must provide us with proof of your identity. It is therefore best to submit your request to us in writing, with a copy of your identity document.
Right to rectification If your data is no longer up-to-date, you can always have us correct or complete your personal data. Here too, you must provide proof of your identity.
Right to object If you do not agree with the way we process personal data, e.g., in the context of direct marketing, you can object to this. Please contact us for this purpose. Unless there are compelling reasons not to do so, such as a legal obligation or the performance of an agreement, we will grant your objection.
Right to have your data deleted You can have your personal data completely deleted. Please contact us for this. We examine each request individually. If there are no legal or compelling reasons not to comply with your request, we will delete your data from our files.

It is advisable to inform yourself about the privacy policies of social media and other channels/websites you use to contact us – such as Facebook, LinkedIn, and Instagram. We accept no liability or responsibility for what happens to your personal data via these websites.
